Work backwards from the agenda
Corporate transportation is timed by the agenda, not the flight. If the first session starts at nine, the transfer plan is built from that, and arrivals that cannot make it are handled as a separate movement rather than allowed to delay the group.
Send the agenda with the request. It changes vehicle counts and pickup windows more than any other single input.
Expect executives to travel separately
Leadership rarely arrives with the team. Trying to fold three executives into a team shuttle usually compromises both movements.
Plan them as their own movement — commonly premium SUV transportation — inside the same program, so timing stays consistent and the quote stays consolidated.
Arrival waves and the waiting problem
Company groups arrive across many flights. The decision is whether one vehicle waits or several rotate.
Waiting is cheaper on paper and expensive in practice: senior people sitting at an airport is the most costly form of idle time a program can create.
- Group arrivals into windows and assign vehicles per window
- Consolidate only where it does not create long waits
- Give each wave a named contact for the driver
- Plan a fallback for the last-arriving passengers
Departure day is harder than arrival day
Departures compress. A program that ends at four sends most of its people to SAN within the same two hours, and every other group at your venue is doing the same.
Work departures back from check-in windows, group passengers by flight time rather than by hotel, and quote them in the same request as the arrivals.
What to include in a corporate request
Enough detail that the plan comes back timed to your business day.
- Agenda or run of show with hard-timed items marked
- Passenger counts per movement, including executives separately
- Pickup points: SAN, LAX, office campuses, hotels or a client site
- Vehicle preferences where they matter for client-facing movements
- Whether the program repeats weekly or is one-time
- A single billing contact for one consolidated quote
